This privacy notice explains how personal data is handled by Tree Arrows Park, trading as Fianna Athletic Club.
We operate a gym and related services from: Elm Park Green, Merrion Road, Ballsbridge, Dublin, D04 E5C9, Ireland
For data protection purposes, Fianna is the data controller. This means we decide how and why your personal data is used when you become a member, visit the gym, contact us, or use our online services.

2. When and how we collect your data
We collect information when you interact with Fianna in ways that are needed for running a gym. For example:
When you sign up for membership or ask for membership information.
When you book or attend classes or sessions.
When you contact us by email, phone or in person with a query or concern.
When you are involved in, or a witness to, an incident or accident at the gym.
When you are captured on CCTV in or around our premises.
When you browse our website, where basic technical information is logged for security and performance.
Some information is provided directly by you, some is created as part of your membership (for example, attendance records), and some may come through trusted providers such as payment processors or IT systems used to operate the club.
3. What personal data we process
We only collect information that we reasonably need to run the gym, manage memberships and keep people safe.
This typically includes:
Contact and membership details
Name, date of birth, address, email, phone number and, where given, an emergency contact. We also hold information about your membership type, status and history (for example, when you joined, whether you have an active membership, and basic account notes).
Payment and billing information
Billing address, payment method and transaction records. Card and direct debit details are handled securely by our payment service providers; Fianna does not store full card details on its own systems.
Bookings, usage and attendance
Details of your class bookings, attendance, check-ins, and club usage that are needed for capacity management, safety and service quality.
Health, safety and incident information
Information you choose to share with us where it is relevant for you to train safely (for example, an existing injury or condition) and records of accidents or incidents where you are involved or affected.
CCTV footage
Video images recorded on cameras in and around Fianna Athletic Club. These are used for security, safety and protecting members, staff and property.
Marketing and communication preferences
Your choices about whether you wish to receive updates, offers, or marketing from us, and through which channels.
Technical and website data
Basic technical information such as IP address, browser type and general usage patterns when you visit our website. This helps with security and performance and may involve cookies or similar tools. These do not track more than is necessary for those purposes.
If we offer services to children or young people (for example, linked junior membership), we may hold limited information about them that is connected to an adult account. This is managed carefully and only where needed.
4. Why we use your data and our legal bases
We use personal data for reasons that fit normal gym operations and that are allowed under GDPR. In practice this means:

We use your details to register you, maintain your account, operate bookings and deliver the services you have signed up for.

We use billing and payment information to collect membership fees, handle refunds where required, and meet tax and accounting obligations.
To keep members, visitors and staff safe
We record incidents, maintain health and safety logs, and use CCTV to help prevent and investigate accidents, theft and anti-social behaviour.
To communicate with you
We contact you about your membership, important operational changes, schedule updates and responses to enquiries or complaints.
To send you relevant marketing
We may send you information about Fianna services, events or offers that we think may interest you. You can opt out at any time.
To run, protect and improve our business
We use aggregated information, basic analytics and feedback to improve services, plan capacity, review pricing and monitor demand.
5. CCTV at Fianna
CCTV is in use in and around Fianna Athletic Club to protect members, staff and property, and to help investigate incidents. Cameras are positioned in appropriate public and communal areas. They are not placed in private spaces where there is a reasonable expectation of privacy.
Footage is stored securely and kept for a limited period, unless it needs to be retained longer for an incident, investigation, insurance matter or legal claim. Access to footage is restricted and may be shared only where strictly necessary, for example with An Garda Síochána, our insurers or legal advisers.
6. Cookies and website use
When you visit our website, some technical data is collected automatically (for example, IP address, browser type and pages visited). This is mainly used to keep the site secure, understand basic usage patterns and improve performance.
Your browser usually allows you to manage or block cookies. If we use non-essential cookies, this will be done in line with Irish and EU law and, where needed, based on your consent.
7. Who we share your data with
We do not sell personal data.
We only share information where it is genuinely necessary, with:
Providers of membership, booking and club management systems.
Payment and banking providers that process direct debits and card payments.
Email, hosting, IT support and security service providers that help us operate our systems safely.
CCTV and building security providers.
Professional advisers such as our insurers, accountants or legal representatives, if needed.
Public bodies or authorities such as An Garda Síochána, the courts or regulators where we are legally required or permitted to do so.
Where third parties process data on our behalf, they do so under written agreements that require them to keep your data secure and to use it only for the agreed purposes and in line with data protection law.
8. How long we keep your data
We keep personal data only for as long as it is needed for the reasons set out above, or as required by law or professional guidance. This varies depending on the type of data, but in general:
Membership and account information is kept for the length of your membership and then for a further period where needed for legal, accounting or insurance purposes.
Payment and transaction records are kept for the periods required by tax and company law.
Incident and accident records are kept for a period that matches legal and insurance time limits.
CCTV footage is usually retained for a short period (around 30 days), unless it is part of an ongoing investigation.
Marketing preferences are kept so that we can respect your choice if you have opted out of certain communications.
When data is no longer required, we either delete it securely, anonymise it or remove it from active systems in line with our internal retention practices.
9. Keeping your data secure
We take the security of personal data seriously. Measures include access controls, secure systems, staff awareness and appropriate technical and organisational safeguards designed to prevent unauthorised access, alteration, disclosure or loss.
No system can be guaranteed as completely secure, but we aim to apply a level of protection that is appropriate to the nature of the data and the risks involved.
